Why this focus?
The U.S. Chamber’s April 2026 review highlights practical uses such as drafting, summarizing, and administrative work, alongside barriers including unclear returns and training gaps. That supports a modest starting point: a familiar task, a measurable result, and a person responsible for review.
Adoption estimates vary. The NFIB’s 2025 technology survey reported AI use among 24% of surveyed small employers. The U.S. Chamber’s 2025 report reported 58% using generative AI. These surveys use different samples and questions; they are not a single comparable adoption rate.
Our judgment is that a concrete project brief is more useful here than another broad catalog of tools. Research supports the problem area; demand for Maibly itself still needs to be earned through useful outcomes.
How the planner works
This is a rule-based planning tool, not an AI chatbot or a validated readiness assessment. Your selected task determines a practical template. Your descriptions are included in the brief. The planner does not analyze free text or make industry-specific judgments.
- Prepare first: if examples or a reviewer are not ready, or the task would use sensitive information, the brief recommends clarifying the process and appropriate data handling before a live pilot.
- Simplify first: if your assumptions show no time saving, it recommends improving the process or a template before adding AI.
- Try a template first: if the estimate saves less than one hour a week, it recommends comparing a saved template with AI. The one-hour threshold is an editorial rule of thumb.
- Start a small pilot: otherwise, it recommends a limited, human-reviewed test.
Weekly savings equal weekly volume multiplied by current minutes minus assisted minutes, divided by 60. Setup recovery equals setup hours divided by positive weekly savings. Negative savings are shown as extra time, and setup recovery is unavailable when there are no positive savings.
The estimates are scenarios based on your inputs. They exclude tool fees, continuing maintenance, and financial benefits. They are not guaranteed savings or a price quote. The pilot checklist is a suggested experiment, not a guarantee of quality or readiness.
